Create your ICEPAY Account
Request an ICEPAY Account for your company and complete the initial account setup.
ICEPAY Accounts and ICEPAY User Accounts
Section titled “ICEPAY Accounts and ICEPAY User Accounts”Before getting started, it is useful to understand the difference between an ICEPAY Account and an ICEPAY User Account:
- An ICEPAY Account belongs to a company. It contains your company’s merchants, users, and other ICEPAY services and settings.
- An ICEPAY User Account belongs to a person. It is used to sign in to the ICEPAY Portal and access an ICEPAY Account based on the permissions assigned to that user.
This guide explains how to create an ICEPAY Account for your company and how the first user gets access to it.
Before you start
Section titled “Before you start”Have the following information ready:
- Your first and last name.
- The primary email address you want to use for ICEPAY.
- Your telephone number.
- Your company’s CoC registration number.
- Any additional company information ICEPAY may request during the compliance and onboarding process.
Create your ICEPAY Account
Section titled “Create your ICEPAY Account”-
Contact the ICEPAY team
Ask the ICEPAY team to create an ICEPAY Account for your company.
Include your name, primary email address, telephone number, and your company’s CoC registration number with your request.

Wait for your account to be created
ICEPAY creates the ICEPAY Account for your company and sets up access for the primary user.
A welcome email is sent to the primary email address. This usually takes no longer than 4 hours on business days.

Open the password setup link
Select Request a new password in the welcome email. This starts the password setup process for your ICEPAY User Account.
You can also open the ICEPAY Portal and select Forgot password?.

Create your password
Set a password that includes:
- More than 10 characters.
- Uppercase and lowercase letters.
- Numbers.
- Special characters.

Sign in to the ICEPAY Portal
Return to the Portal login page and sign in using the email address and password for your ICEPAY User Account.
Your ICEPAY User Account gives you access to the ICEPAY Account belonging to your company.

Set up two-factor authentication
Two-factor authentication (2FA) is required for new ICEPAY User Accounts. In addition to your password, you must confirm your identity using an authenticator app.
You can use Google Authenticator, Microsoft Authenticator, or another compatible TOTP authenticator app.
Set up 2FA as follows:
- Open your authenticator app on your phone.
- Open the 2FA setup screen from the Portal prompt or your account settings.
- Scan the QR code shown in the Portal.
- If you cannot scan the QR code, enter the displayed setup key manually.
- Enter the temporary six-digit code generated by your authenticator app.
- Save your recovery codes in a secure location.
At future sign-ins, enter the code generated by your authenticator app after entering your email address and password.
Depending on your ICEPAY User Account configuration, ICEPAY may also offer email-based verification. If this option is available, ICEPAY sends a temporary verification code to the email address associated with your ICEPAY User Account. Enter the code before it expires. If it expires, request a new code.

Complete onboarding
ICEPAY may require additional company information or documentation before onboarding can be completed.
Complete any outstanding onboarding or compliance requirements requested by ICEPAY.

Account ready
Your company now has an ICEPAY Account and your ICEPAY User Account can access it through the ICEPAY Portal.
Once your account is eligible for test payments, you can continue by configuring your merchant.
Invite additional users
Section titled “Invite additional users”An ICEPAY Account can have multiple ICEPAY User Accounts.
After your company’s ICEPAY Account has been created, an administrator can invite other people who need access to it.
To invite a user:
- Enter the person’s email address.
- Assign the permissions they need.
- Send the invitation.
The invited person receives instructions by email to create their ICEPAY User Account and complete their registration.
Permissions determine what the user can access or manage within your company’s ICEPAY Account. New users do not receive permissions by default unless an administrator assigns them during the invitation process.
Set up your merchant, get your credentials, and configure payment methods.
Troubleshooting
Section titled “Troubleshooting”If you run into a problem while creating or accessing your account, expand the situation below for the recommended next step.
I did not receive the welcome email
Check your spam or junk-mail folder first and confirm that ICEPAY has the correct primary email address.
If the email is still missing, contact the ICEPAY team to verify your account details and request a new welcome email.
My password link has expired
Password-reset links expire after 60 minutes.
Return to the ICEPAY Portal, select Forgot password?, and request a new password-reset email.
I can sign in but cannot see anything
Ask an administrator of your ICEPAY Account to check that:
- Your ICEPAY User Account has access to the correct ICEPAY Account.
- Your invitation was accepted.
- The required permissions were assigned.
- Your ICEPAY User Account is enabled.
I am asked for a verification code
Depending on your ICEPAY User Account configuration, ICEPAY may ask you to verify your sign-in using your authenticator app or a temporary code sent to your email address.
Enter the requested code before it expires. If an email verification code expires, request a new one.
